Activate payments

Connect Stripe to WeTicket so you can sell tickets and receive your money.

What am I going to do?

WeTicket processes payments through Stripe. Before you can receive money, Stripe is legally required to check who you are and which organisation you sell tickets for. A bank does exactly the same when you open an account. This is called an identity check (or KYC, Know Your Customer).

You fill in a form at Stripe, which takes about 10 to 15 minutes. After that you can start selling tickets right away.


The most important rule: be precise and exact

Stripe automatically compares everything you enter with official sources. To make sure nothing goes wrong, make sure that everything you enter matches the official source exactly. So take your time and get it right the first time. That's faster than fixing it afterwards.

What happens if something doesn't match:

  • Stripe can't approve your details and asks for extra documents, such as a photo of your ID and a selfie.

  • The check can then take 24 hours or longer.

  • Until then you can't sell tickets, or your payouts are paused.

Have this ready before you start

  • Your business registration details (an extract from your national business register). It shows the official name, registration number, address and who the board members or owners are.

  • Your passport, ID card or driving licence.

  • Your phone, for a text message code and possibly a photo of your ID.

  • The IBAN where you want to receive your money.

  • Foundation or association: the names of your board members.

  • Company or partnership: the names of everyone who owns more than 25%.

Are you the right person to fill this in? The form must be completed by someone who is allowed to sign on behalf of the organisation. For a sole proprietorship that's you. For a company it's the director. For a foundation or association it's a board member. Are you a volunteer or employee without signing authority? Then ask the right person to do this.


Step by step

Activating payments takes 8 steps. Only step 6 differs per legal form.

Step 1: start in WeTicket

Click your organisation name in the top right, then Settings and choose Payments. Click Set up Payments. You can also click Activate in the banner at the top of your Events page. Stripe opens.

Step 2: verify your phone number

Enter your mobile number and click Submit. You'll receive a text message with a 6-digit code. Enter it. This will be your login method from now on.

Got more people in your organisation that need access? Add them in Stripe after setting up your account.

Step 3: choose your legal form

On the screen "Tell us about your business", choose your country. Then Stripe asks for a Business type and a Business structure. Stripe shows the local names for your country, so the wording may differ slightly from the table below. Choose the option that fits your organisation and click Continue.

Not sure? Check the legal form in your business registration before you choose. This choice matters: once you've finished, you can only change it through our support team.

Step 4: enter your business details

On the next screen ("Tell us about your business") you fill in the details of your organisation.

What to enter

Legal business name

The official business name, letter for letter. So "Utrecht Summer Fest Foundation" and not "Summer Fest".

Business name (Trading name)

The name your visitors know. May differ from the official name. You can leave it empty if it's the same.

Registration number

The number from your national business register. Not your branch number and not your VAT number.

Business address

The official registered address. No business premises? Then your home address, if that's the registered address. It must be in the country you operate from.

Business phone number

A number where you can be reached.

Industry

Type ticket in the search field and choose Entertainment and recreation > Event ticketing.

Business website

WeTicket fills in your WeTicket page. That's fine. Have your own website that shows your events? You can use that too. No website that is still under construction.

Product description

Only for foundations and associations. 1 or 2 sentences about what you do and how you receive money. For example: "We organise concerts and receive income from ticket sales and membership fees."

Click Continue.

Step 5: enter your personal details

This is about you, the person filling in the form. Stripe calls you the Account representative.

What to enter

Legal name

Your first and last name exactly as shown in your passport or ID card. No nickname, no abbreviation.

Email address

Your own email address.

Job title

Your role. For example Owner, Director, Partner, Chair or Treasurer. You won't see this field as a sole proprietor.

Date of birth

Day / month / year.

Home address

Your own home address, not the business address.

Phone number

Your mobile number.

If Stripe can't find you right away, you'll see "We couldn't match this personal information". That's not your fault, but do check for typos. If everything is correct, click This is correct. Stripe will then ask for a photo of your ID. See the article "My identity can't be verified".

Step 6: owners or board members

This step depends on the legal form you chose in step 3.

  • Sole proprietorship: no extra step, go straight to step 7. See section A.

  • Company or partnership: Stripe asks who the owners are. See section B.

  • Foundation or association: Stripe asks who your board members are. See section C.

Step 7: add your payout account

On the screen "Add an account for payouts":

  • Enter your IBAN under IBAN and again under Confirm IBAN.

  • The account must be in the name of the organisation you entered in step 4. Sole proprietors may also use their own account.

  • Below the form it says Stripe may transfer money to and from this account (SEPA mandate). This is needed for things like refunds to your visitors.

  • You can also add a debit card, but an IBAN is the usual choice.

Step 8: review and submit

On the Review and submit screen you see everything once more.

  • Do you see Incomplete or Invalid anywhere? Click Edit on that block and add what's missing. You can only submit once everything is complete.

  • Statement descriptor is the name your visitors see on their bank statement. Maximum 22 characters, Stripe shortens it automatically. Make sure your visitors recognise it. An unknown name on a bank statement leads to chargebacks.

  • Click Agree and submit. You'll automatically return to WeTicket.

Done! In WeTicket under Settings > Payments you'll now see Ready to accept payments.


Stripe terms explained

Stripe is built for businesses all over the world, so it uses business language. Even if you're a foundation or association. Don't let that put you off: here's what it means.

Account representative

You, the person filling in this form who is allowed to sign on behalf of the organisation.

Director

For a foundation or association: a board member, such as the chair, secretary or treasurer. Not a salaried director.

Beneficial owner

For a company or partnership: anyone who owns more than 25% of the business. For a partnership that's usually all partners.

Job title

Your role. For a foundation or association, enter your board role, such as Chair.

Legal business name

The official name from the business register.

Owners or directors

For a company or partnership this means owners, for a foundation or association it means board members. You only see the step that fits your legal form.

Foundations and associations don't have owners or shareholders. Where Stripe says "director", simply enter your board.


Section A: freelancer or sole proprietorship

Yours is the shortest route. There's no step 6.

  • In step 3, choose Company and then Sole proprietorship.

  • Under Legal business name, enter the name of your sole proprietorship as registered.

  • You are the owner and the representative. No other people are asked.

  • Your payout account can be your business account or your personal account.


Section B: company or partnership

In step 6, Stripe asks who the owners are.

  1. Stripe searches public registers and shows the names it finds, marked "Will be added". Is this correct? Click Confirm.

  2. Not correct? Click Change owners. You can then remove people (Remove) or add them (Add owner).

  3. For each owner Stripe asks for an email address, date of birth and home address. Click Start next to the name.

  4. Don't have these details? Click Send email invite. The owner receives a link and fills it in themselves.

  5. Are all owners marked Completed? Click Continue.

Who counts as an owner? Anyone who directly or indirectly owns more than 25% of the business. For a partnership that's usually all partners. Not sure? Check the UBO register (register of beneficial owners) in your country.


Section C: foundation or association

Your route has three extras: a product description in step 4, your board in step 6 and a confirmation of your board.

  1. In step 3, choose Non-profit and then Non-profit organisation with legal personality.

  2. In step 4, fill in the extra field Product description: 1 or 2 sentences about what you organise and how your income comes in.

  3. In step 5, enter your board role under Job title, such as Chair or Treasurer.

  4. In step 6 you see Add or remove directors. This is where you enter your board. Click Add director. Are you a board member yourself? Choose your own name under "Select someone". Add other board members with Add someone new.

  5. Enter the board members as registered in the business register, with their full names. At least 1 is required. Click Confirm and then Continue.

  6. Stripe compares your board with the official business register. If it can't find a match, it asks you to confirm your board ("Verify your business directorship"). You choose one of two options:

    • Electronic attestation (recommended): you digitally sign a statement. Type your name in the box above the line, exactly as Stripe shows it. Done within minutes.

    • Upload a directorship document: upload a document that lists your board. That can be an extract from the business register, an annual report, an annual confirmation or a deed of incorporation. Takes up to 24 hours.

  7. Continue with step 7.


Stopped halfway?

No problem. In WeTicket under Settings > Payments you'll see Continue setup. Stripe remembers what you already filled in. Chose something wrong, like your legal form? Click Reset and start again.
